Volunteer Information

*****ATTENTION FAMILIES*****

Parents / Guardians / Families are expected to volunteer for help at meets. Parents / Guardians / Families are expected to work at least one home and one away meet. It gets crowded in the stands and sometimes the best viewing is when you are on deck helping. We need approximately 40 volunteers to make a meet happen. Please sign up ahead of time to eliminate the need for someone to go "searching" for volunteers during the meet! Thank you for your cooperation! The following jobs need to be filled for each meet.

Swim Meet Jobs:

A swim meet cannot run smoothly and efficiently without the help of parents. It takes over 40 people to efficiently run home meets, and over 20 for away meets. Without parents volunteering to fill these needs, the swim meet can’t happen. Meets can be forfeited if positions are not filled by the team. Sign up to help with one of the following jobs. Some jobs require training, and others are only for home meets.

(T) Training Required (H) Home Meets Only

1. Meet Manager (T)(H): [1 Needed]

- Must be familiar with all jobs and potential problems.

- Makes sure all jobs are filled and that the meet runs as smoothly as possible.

- Must be willing to approach people at meet to fill jobs at the last minute.

- Must be able to draft helpers and give "on the job" training.

2. Scoring Table (T): [4 Needed / 2 per Half]

- Requires attention to detail; organizational skills; high comfort level with computers; ability to follow written instructions carefully; ability to work patiently with others; ability to work with numbers.

- Works with coaches to finalizes events setup in computer.

- Circulates meet reports to coaches, officials, bullpen. Events Person, and starter.

- Receives lane time cards/sheets from runner.

- Tabulates swimmers’ times and team scores.

- Finalizes scores and gives computer backup to coaches.

3. Timing Console (T)(H): [2 Needed / 1 per Half]

- Ensures meet is loaded into timing console.

- Coordinates installation and testing of timing touch pads in each lane before meet starts.

- Ensures proper events and heats are ready to be timed.

- Keeps visual identification and confirmation of lap counts and final touches in each lane and adjusts console when necessary.

- Notates for Score Table any finishes not recorded properly by timing pads.

4. Starter (T)(H): [2 Needed / 1 per Half]

- Must be comfortable speaking in public and using public address systems.

- Makes announcements.

- Works with Score Table to combine events.

- Operates the starting system.

- Officially starts each event.

- Judges false starts.

- Makes sure swimmers’ feet are beneath the water before the start of the race.

5. Referee (T)(H): [2 Needed / 1 per Half]

- Must have knowledge of what constitutes legal & illegal swimming strokes, turns, and final touches for freestyle, backstroke, breaststroke and butterfly.

- Must be familiar with what constitutes a properly filled in disqualification (DQ) notice form.

- Makes the final decision on allowing/disallowing DQ’s.

- Please inform the Meet Manager or a Board member if you have any prior experience as a Stroke & Turn Judge, or if you have any experience swimming competitively.

6. Stroke & Turn Judge (T): [4 Needed / 2 per Half]

- Must have knowledge of what constitutes legal & illegal swimming strokes, turns, and final touches for freestyle, backstroke, breaststroke and butterfly.

- Must be familiar with what constitutes a properly filled in disqualification (DQ) notice form.

- Watches swimmers in 3 lanes at one end of pool to see if they properly perform strokes, turns, and final touches.

- Raises hand when a DQ is noticed. This informs Runner to come and collect DQ form.

- Fills in DQ forms for any disqualifications and gives to runner.

- Please inform the Meet Manager or a Board member if you have any prior experience as a Stroke & Turn Judge, or if you have any experience swimming competitively. 

7. Lane Timer: [12 Needed / 6 per Half]

- Ability to use a stopwatch.

- Meet with other timers and stroke officials when announced before the meet begins.

- Start watch when Starter starts the race.

- Raise hand for Back-Up Timer if problem arises with stopwatch.

- Stop watch when swimmer touches pad or wall at end of race.

- Record swimmer’s times on card or time sheet. (Home meets only.)

- Give time card/sheet to Runner when collected.

- If no swimmer assigned to lane for an event, act as additional back-up timer.

- For 25-yard events, timers will need to move to the end of the pool away from the starting blocks.

 25-yard events = 1 length of the pool.

 50-yard events = 2 lengths of the pool. (down & back)

 100-yard events = 4 lengths of the pool. (down & back twice)

 200-yard events = 8 lengths of the pool (down & back 4 times)

 500-yard events = 20 lengths of the pool (down & back 10 times)

8. Back-Up Timer (H): [2 Needed / 1 per Half]

- Ability to use a stopwatch.

- Meet with other timers and stroke officials when announced before the meet begins.

- Watch for Starter to begin race.

- Look for raised hands from Lane Timers and assist them.

9. Runner: [2 Needed / 1 per Half]

- Brings timing sheets to Lane Timers before events are run.

- Collects timing sheets/cards from Lane Timers and placement cards from Place Judges after each heat or specified number of events.

- Watches Stroke & Turn Judges for raised hands, and collects DQ forms from the judges to bring the DQ forms to Referee.

10. Card/Events Person: [2 Needed / 1 per Half]

- If cards are used, the Card Person locates swimmers and gives the swimmers their cards to bring to the Lane timers when they go to the starting blocks for their race; and

- If timing sheets are used instead of cards, the Events Person locates swimmers and instructs them to go to the bullpen.

11. Bull Pen / Line-Up Coordinator: [4 Needed / 2 per Half]

- Lines up swimmers in the order of their events.

- Tells swimmers what lanes they are in.

- Sends swimmers to the starting blocks.

12. 50/50 Raffle: [1 Needed 1st Half only]

- Sells raffle tickets during the 1st half of the meet.

- Brings money and raffle entries to Starter at the end of the 1st Half.

- Raffle is drawn by Starter during intermission between 1st & 2nd Halves of the meet.

13. Concession Stand: [6-8 Needed / 3-4 per Half]

- Helps Concession Coordinator sell concessions during the meet.

- Helps clean concession area at the end of the meet.
